Parcel Management

Original design of the desktop requires a parcel drawn on the parcel map for each ModIV tax record.  Without a parcel polygon no info pane will show for that ModIV record and no linking can be done on the application forms.  The issue is that there can be a large time frame between when parcel splits and joins occur and when they get updated on the tax maps and then on the parcel map.  A new option has been added if you would like to add parcel record directly into the table so the system acts as if a parcel is drawn.  This allows for info panes and application form linking.  Provided you use the correct future Blocks and lots these records will stay linked when the parcel map is eventually updated.  Additionally this will allow you to manage some ModIV data like owner information.  In many cases owner information is months behind from a sale, as it has to be registered at the county before the local tax assessor can make there changes.  You can also add additional tax records that an assessor tends to not include like parks or municipal properties.  A ModIV Static table and datagrid has been added that will reimport after each modiv Tax import.  Any Active Static record will create each table record as needed.  This can also be updated for the nightly Auto ModIV import

 

General Management

Selected users will need updated datagrids, specifically the ModIV Static Datagrid.  You can also use new ModIV Join, Parcel Join, and Parcel Edit datagrids to manage specific tables.  You should use the MODIV Edit datagrid, sort by unlinked, select all unlinked records and click edit.  Click yes to add these records to the parcel tables,  these should stay linked until the next parcel import.  Use the MODIV static DGC to add records not on the tax rolls yet, such as new subdivisions and developments or parks and other municipal land.  These will get re-added after each modiv import.  Deactivate once the record gets on the tax rolls.

Settings

The Assessor Options has a new checkbox to update the database.  Follow the prompts to update the tables,  these fields must be added for parcel management to work.  This can be turned off after the fact but linking would then be lost

Datagrids

New datagrids will need to be imported so you can have access to this data.  Each will give you add, edit and delete options for those records.

ModIV Static

For new records use the Create MODIV button to add this forms information to the tax data.  Existing information can be modified with the update button.

This can be used to add parcel junction and parcel records to allow for the linking.  If you select more then one record you can link records in bulk.

Linking Existing MODIV

Using the MODIV Join DGC find unlinked records and highlight and double click.  you should see the tax info and a parcel junction record parcel ID of -1.  This means it is unlinked

Click Add under the parcel record Section

The form should update with the new parcel ID.  The record should now be marked as linked on the datagrid with access to an info pane.  Note the Link ID field in the parcels section is blank noting its not linked to a parcel polygon

 

Updating in Bulk

Select multiple unlinked records

Click yes to add parcel records

The records will now be marked as linked

Info panes will now display and linking on forms can be done

 

Linking One Record

Opening one record will allow you to link and unlink records.  Click the add or delete buttons as needed

 

New Tax records

For the linking to work a tax record must be present.  You can add one first, using the ModIV Edit DGC, then use the above process to create the link.  This will be very helpful for new developments as well as land that does not have a ModIV Tax record.  Note you can also modify Owner information used in the desktop here.  There are times it can take a month after a sale before the county updates their records and allows the local tax assessor to update their own.

Import

Part of this update includes an import option.  with a properly formatted spreadsheet you can bring in multiple records.  Support can help in converting this to an access MDB that can then be imported creating records in tot he MODIV Static table and all tax tables.  Fields: Block, Lot, Qualifier, LocationAddress, LocationAddresss2, OwnerAddress, OwnerName, OwnerCityState, OwnerCity, OwnerState, OwnerZipCode, CountyNumber, DistrictNumber, BuildingDesc, PJCensus, PJDPWDistrict, PJFlood, PJHistoric, PJWard, PJZipCode, PJZipCodeName, PJZoning
